Our Official Policies & Code of Practice outline the standards, expectations, and procedures that govern our dojo. These policies ensure a safe, respectful, and professional environment for all members, instructors, and visitors.

Mission Statement
The AN Shotokan Karate Club is dedicated to preserving and promoting traditional Japanese Shotokan Karate.

Code of Conduct
All members, instructors, and visitors are expected to maintain the highest standards of behaviour:
- Treat instructors, fellow students, and visitors with respect at all times
- Arrive punctually and follow all instructor directions
- Maintain discipline, courtesy, and appropriate language within the dojo
- Demonstrate humility and willingness to learn
Uniform & Appearance
To maintain tradition, safety, and professionalism:
- A clean and well-maintained karate gi must be worn during training
- Belts must be tied correctly and display current rank
- Jewellery, watches, and accessories are not permitted during training
- Long hair must be securely tied back
- Fingernails and toenails must be kept short and clean
Health & Safety Rules
The safety of all members is our highest priority:
- Sparring (kumite) is only permitted with instructor approval and supervision
- Appropriate protective equipment must be worn when required
- All injuries, however minor, must be reported to an instructor immediately
- Follow all safety instructions without exception
- Maintain adequate hydration during training sessions
Attendance & Punctuality
Consistent participation supports progress and discipline:
- Regular attendance is strongly encouraged for continuous progression
- Late arrivals must bow respectfully before entering the dojo
- Latecomers should join the class quietly without disruption
- Notify instructors in advance of planned absences
Fees & Membership
Financial responsibilities and membership requirements:
- Monthly training fees must be paid on time (by the 1st of each month)
- Active and up-to-date membership is required for training and grading
- Membership includes insurance coverage during club activities
- Trial sessions are available for prospective members
- Direct debit options available
- Family discounts apply for multiple family members
- Student and concession rates available with valid ID
Gradings & Progression
Student progression and belt advancement criteria:
- Technical ability and correct execution of techniques
- Attitude, discipline, and respect shown in the dojo
- Consistent attendance and demonstrated effort
- Understanding of dojo etiquette and terminology
- Minimum training hours required between gradings
- Written theory test for brown and black belt candidates
- Practical demonstration of kata and kumite
Photography & Media
Media usage and privacy considerations:
- The club may take photographs/videos during training, events, or gradings
- Media may be used for promotional purposes or record-keeping
- Members or parents/guardians may request exclusion from photography
- Personal photography during classes requires instructor permission
Child Protection & Safeguarding
Commitment to safeguarding all children and vulnerable adults:
- All instructors are DBS checked and safeguarding trained
- No instructor will be alone with a child without another responsible adult present
- Separate changing facilities are available for children and adults
- Parents are welcome to observe classes at any time
- Designated Safeguarding Officer: Sensei Abdallah Nasr
- 24-hour reporting line for safeguarding concerns
- Regular safeguarding training updates for all staff
Privacy & Data Protection
Commitment to data privacy and protection:
- Personal information collected solely for membership administration
- Data used for safety, communication, and grading purposes
- Emergency contact information maintained for safety
- Opt-in required for marketing communications
Dojo & Facility Rules
Maintaining a clean and respectful training environment:
- The dojo must be kept clean and tidy at all times
- Shoes, food, and drink are not permitted on the training mats
- Personal belongings should be stored neatly in designated areas
- Equipment must be returned to proper storage after use
- Mats cleaned and disinfected after each session
- Ventilation maintained during training
- Emergency exits kept clear at all times
Termination of Membership
Conditions under which membership may be suspended or terminated:
- Repeated or serious violation of club rules or policies
- Behaviour that compromises safety, respect, or club reputation
- Non-payment of fees for more than two consecutive months
- Failure to comply with safeguarding or safety requirements
- Verbal warning for first minor offense
- Written warning for repeated offenses
- Suspension pending investigation for serious offenses
Policy Acknowledgement
These policies are reviewed annually and form the foundation of our dojo's operations. All members agree to abide by these rules upon joining the club. Questions about these policies should be directed to the Chief Instructor.
